Advice for Module Leaders about enrolling Associate Students

Student Records, Returns and Systems: Meet the Associate Student Enrolment part of the team!

Hello! We are part of the Student Records, Returns and Systems team and we’re the contact point for the admission and on-boarding of Associate Students. Our team includes the following:

  • Rebecca Hood – Registry Officer
  • Sarah Wright - Registry Assistant
  • Registry Clerk - Vacant

The responsibilities of our role include:

  • Creating enrolment records on Quercus
  • Enrolment support to ensure that every student successfully enrolls on their chosen course
  • Liaising with module leaders to keep up to date records of which students have enrolled, withdrawn or transferred.

Via email: The first point of contact is our general inbox [email protected].  We aim to respond to every email within 48 hours. Where possible, please include the word ‘ASSOCIATE’ in the subject heading so that the relevant team members can respond to your email.

In person: If you require in-person assistance, either to discuss requirements for your module(s) or to obtain enrolment assistance for students, we can usually be located on campus as follows:

  • Treforest Campus: Mondays and Tuesdays in Room TRH213
  • Glyntaff Campus: Fridays in Room GTEM133
  • City Campus: Tuesdays, Wednesdays and Thursdays in Room NCCCB07

We receive advance notification of modules that are planned to run which are shown in the calendar on the right.

For modules listed on the schedule below, we will contact you three to four weeks ahead of the start date to confirm that the module is going ahead and to confirm admissions arrangements. This is usually a two step process:

  • Step 1: We will need the students’ full names and email addresses, together with the correct module code so that we can contact them to complete an application form.  This will  capture details to enable us to create a Quercus record.
  • Step 2: Once the Quercus record is available, we will email the students with guidance on how to enrol online.

We’ll keep in touch with you regularly to keep track as the applications and enrolments progress. 

If you have an associate module which is not listed, please contact us to let us know.

We’re on hand to help any student who experiences difficulties in enrolling online, either by email, telephone, Teams call or, by arrangement, in-person assisted enrolment support.

If you have a student joining your module later than expected, just let us know full names and email addresses, together with the relevant module code.

We can produce these for you to distribute.  ID cards remain valid until the expiry date shown on the card.
